Connect an email account

Add Gmail, Outlook, Yahoo, iCloud, AOL or any other mailbox. Most need an app password, which takes about two minutes to make.

  1. Open the profile menu (your name, top right) → Settings → Email Accounts.
  2. Click + Add Account and choose your provider: Gmail, Outlook / Hotmail, Yahoo, iCloud, AOL or Custom IMAP.
  3. Enter your Email Address and Password. For Gmail, Yahoo, iCloud and AOL this must be an app password, not your normal password (see below).
  4. Choose a Category (Business, Personal, Hobby or Other) and leave Pipeline on Default.
  5. Click Test Connection. When both Incoming and Outgoing show a check mark, Save unlocks. Click it.

Trillitask starts checking the mailbox within a few minutes. It looks at new mail from about the last day onward, not your whole history.

Making an app password

Gmail, Yahoo, iCloud and AOL don’t let other apps use your regular password. Instead you make a one-time “app password” just for Trillitask. The form shows the links for your provider.

  • Gmail: turn on 2-Step Verification in your Google account, then create an app password at Google’s App Passwords page. Paste the 16-character code into the Password box.
  • Yahoo and AOL: open your account security page and generate an app password.
  • iCloud: sign in to your Apple ID account and create an app-specific password.
  • Outlook / Hotmail: use your normal password. If the test fails and your account has two-step verification, create an app password in your Microsoft account security settings.

Other mail providers

Choose Custom IMAP and enter the incoming (IMAP) and outgoing (SMTP) server details from your provider’s help pages. Most use port 993 with SSL for incoming and 587 with TLS for outgoing.

Edit or remove an account

Use the pencil to edit an account (leave the password blank to keep it) or the trash icon to remove it. Removing an account stops scanning and deletes the mail Trillitask stored from it.

Your mailbox password is stored encrypted, and Trillitask only reads your mail. It never deletes, moves or marks messages in your mailbox.

You can also connect a mailbox just for your family to email items onto a list. See Let family email items to a list.
